JOB DESCRIPTION
The Senior Operations/Event Coordinator will be responsible for administering and executing programs or projects across the iShares Canada business (internal and external). Including the responsibility for managing the planning and execution of a range of iShares events and 3rd-party conferences with a focus on content development, program design and speaker management. The individual will also manage strategic projects across the business, helping advance the Communications, HR/People and Facilities agendas. To accomplish this, the successful candidate will work closely with iShares Canada leadership team.
Primary Responsibilities:
Business Administration
* Provide business management for iShares Canada office.
* Be a strategic thought leader in supporting the iShares Canada’s Operating group; develop related presentations supporting overall Business Strategy.
* Develop iShares culture and promote values through development of programs and events. Partner with HR and global colleagues to deliver on people initiatives.
* Take lead role in the management of the business’ continuity planning and support for the management of iShares’ Independent Review Committee.
* Assist the iShares Canada leadership team with ad hoc projects as needed.
Content Development and Program Design
* Develop and refine content for iShares events, including identifying speakers and topics; developing and finalizing scripts, presentations, agendas, moderator talking points and speaker introductions; and developing audience handouts and evaluation forms.
* Manage compliance approval process where necessary.
* Define call-to-action and identify next steps for internal and external audiences.
* Develop event descriptions and briefing documents for speakers and business partners in sales, product and marketing.
* Manage iShares speakers bureau for internal and external events; screen speaker requests for overall business opportunity; identify appropriate speakers and topics; coordinate speaker scheduling and provide logistical support as needed.
* Integrate with marketing and channel strategy stakeholders to ensure content is on target and consistent with other field messages.
Execution & Project Management
* Assemble and lead cross-functional teams to manage event and conference deliverables, including invitation strategy, marketing communications, content, event planning, exhibit design, public relations, production, promotions, logistics and field sales communications.
* Provide project management in collaboration with a range of internal business partners.
* Write and edit corporate communications as needed.
* Write, edit and conduct internal briefings to train field sales on event objectives, target audience, invitation process, staffing needs, and follow-up activities.
* Provide on-site event support.
* Write and edit event debriefs and make recommendations for program improvements.
* Manage event schedules and workplans for multiple projects spanning sales, marketing and product.
* Track critical path items and develop reporting mechanisms
* Take on additional new ad hoc initiatives as needed
Planning
* Define business objectives, target audience, budget and success measurements for each event and conference.
* Develop business requirements and event strategy briefs to provide direction to business partners and agencies.
* Negotiate 3rd-party conference sponsorships to maximize opportunities to further iShares business objectives with target audiences.
Reporting and Analysis
* Manage the effectiveness of programs by incorporating metrics. Collect and analyze event results, develop post-event reporting and recommendations, and present results and recommendations to internal stakeholders.
* Meet with sales and marketing leaders to review event and marketing plans and participate in cross-functional sales/marketing planning teams.
QUALIFICATIONS
* 5+ years of experience in the investment/asset management industry or experience working with financial advisors
* 4+ years working in experiential, event, sponsorship or conference marketing
* Solid working knowledge of integrated marketing communications and field sales; and a demonstrated ability to create and manage effective programs
* Ability to plan and manage projects at both strategic and tactical levels, manage complex project timelines, juggle competing priorities and keep project teams on track
* Proven experience interfacing and negotiating with internal and external groups at all levels and across multiple functions, including creative vendors and third-party conference representatives
* Proven organizational experience in an administrative, project coordinator and/or project manager role
* High energy, comfortable in a fast-paced environment
* Positive attitude, strong ethics, team player with a strong attention to detail
* Client service orientation
* Excellent written, oral, interpersonal and collaboration skills.
* Demonstrated excellence in Microsoft Office with an emphasis on PowerPoint and Excel.
* Ability to travel up to 25% of time
* BA/BS (or equivalent experience) required
